SpireAssists GPT is an AI-powered assistant for Spire ERP, a business
management system used by wholesalers and distributors. The service
uses a private knowledge base of Spire product documentation to answer
questions submitted through the ChatGPT interface.

This Privacy Policy explains what information is collected when you use
SpireAssists GPT and how it is handled.

2. WHAT INFORMATION WE COLLECT

We do not log, store, or retain your search queries or any other
personal information.

Specifically, we do not collect:

  - Your name, email address, or any user identifier
  - Your IP address or device information
  - The text of your questions or search queries
  - Session data, cookies, or tracking identifiers

The knowledge base underlying this service contains only Spire ERP
product documentation (user manuals, database schema references, API
documentation, training materials, and support articles). It contains
no personal information about users of this service.

3. HOW QUERIES ARE PROCESSED

When you submit a question through SpireAssists GPT, your query text is
transmitted to our search API for the sole purpose of retrieving
relevant documentation from the knowledge base. The query is used to
perform the search and is discarded immediately after the response is
returned. It is not written to disk, stored in a database, or retained
in any form.

4. DATA RETENTION

We retain no personal information about users of this service.

The knowledge base contains Spire ERP product documentation and is
retained for as long as the service operates. This content is not
personal information.

5. THIRD-PARTY SERVICES

SpireAssists GPT relies on two third-party services:

  a) OpenAI (ChatGPT)
     Your conversation with SpireAssists GPT is processed by OpenAI's
     ChatGPT platform. OpenAI's handling of your data is governed by
     their own Privacy Policy, available at:
     https://openai.com/privacy

  b) Hosting Provider
     API requests between ChatGPT and the SpireAssists knowledge base
     are routed through a third-party hosting provider's
     infrastructure. Query data passes through this infrastructure
     transiently and is not stored by that provider on our behalf.

6. YOUR PRIVACY RIGHTS (PIPEDA)

This service is operated in Canada and is subject to the Personal
Information Protection and Electronic Documents Act (PIPEDA).

Under PIPEDA, you have the right to request access to any personal
information we hold about you, and to request corrections if that
information is inaccurate. As described above, we do not collect or
retain any personal information about users of this service. There is
therefore no personal information to access or correct.
